A better brief for your next groundworks project

A good groundworks enquiry gives the contractor enough context to understand the job, ask useful questions and define the package. It does not need to be complicated. It needs to make the site, the scope and the expectations clear.

Describe the project before listing the activities

Start with the location and purpose of the work. Explain whether the site is occupied, what is being built and how the proposed groundworks support the wider project. Include a concise description of the desired end result. A list saying excavation, ducting and concreting means more when the team can see the layout those activities are intended to deliver.

Add the current stage of the project. An early feasibility conversation is different from a request to price a defined package. Tell the contractor which information is confirmed and which decisions remain open. This helps everyone understand whether the immediate task is to discuss options, review a scope or prepare a quotation.

Provide a consistent set of information

Use a single drawing register or clearly labelled document list. Include the date and revision of the documents that describe the proposed works. If an older drawing is included for context, mark it accordingly. Clear document control prevents a conversation from being based on several different versions of the same layout.

Useful supporting material can include site photographs, access information, equipment foundation details and the relevant proposed levels. The exact documents depend on the job. Ask the project designer which information is needed to define the package, then record any missing items as questions rather than leaving the contractor to guess.

Make the scope and interfaces explicit

Describe the work being requested and the boundaries between trades. State who is responsible for supplying materials, setting out, design information and specialist installations. Explain which activities are part of the civil package and which will be completed by another team. Where the boundary is uncertain, include it in a questions list.

For an EV infrastructure project, for example, the civil team and electrical team may have closely linked programmes. An equipment base cannot be considered in isolation from its location, access and service route. Clear interfaces help the teams agree the order of work and identify the points that require a coordinated inspection or handover.

Share the constraints that shape the programme

A preferred start date is useful, but access and operational constraints give it meaning. Tell the contractor about restricted working areas, delivery arrangements and activities that must continue nearby. Explain if the project needs a phased approach. These details may influence plant selection, storage, sequencing and how work is organised.

Information about existing conditions and project risks should be shared through the appropriate project arrangements. A short commercial enquiry should not be treated as a replacement for the wider planning and design process.

Agree what completion will look like

Describe the finished surfaces, reinstatement and handover information expected from the package. Include the process for reporting a variation or an unexpected site condition. Agree who will review completed work and how outstanding items will be recorded. Defining these expectations early makes the final review more straightforward.
